As the Enterprise Operations Associate Director, you’ll play a pivotal role in supporting the Chief of Staff to the CEO in driving strategic projects, coordinating cross-functional teams, and facilitating communication to ensure the smooth execution of strategic initiatives and the priorities of the CEO and Chief of Staff to the CEO. Primary Responsibilities:
- Assist the Chief of Staff in planning, executing, and monitoring strategic and special projects
- Coordinate cross-functional teams to ensure alignment and timely completion of project milestones
- Facilitate communication between stakeholders, including the CEO and the executive leadership team, to ensure clear understanding of project goals and progress
- Prepare and maintain project documentation, including timelines, status reports, and meeting minutes
- Identify and mitigate potential risks and issues that may impact project success
- Support the development and implementation of strategic initiatives to achieve organizational goals
- Conduct research in industry trends, market conditions, and potential opportunities relevant to the organizations strategy to inform decision-making and project planning
- Assist in the preparation of presentations and reports for senior leadership
- Support chief of staff in planning and executing culture-building activities and events
Education/Experience/Skills:
- Bachelor’s degree in business, STEM, or other related field. An equivalent combination of relevant education and applicable job experience may be considered
- Minimum 5 years of relevant progressive experience in the pharmaceutical/medical device/life sciences industry with a focus in cross functional leadership and project management experience. Project management certificate preferred (i.e. PMP, Six Sigma, etc..)
- Strong organizational skills: Ability to manage multiple tasks and priorities effectively
- Excellent communication skills: Clear and concise written and verbal communication to effectively convey information across levels
- Project management skills: Experience working independently and highly detail oriented when developing, executing, and monitoring project plans to meet deadlines
- Analytical skills: Ability to gather and interpret data to inform decision-making
- Strategic thinking: Ability to identify opportunities and develop a plan to address challenges
- Interpersonal skills: Build strong relationships with internal and external stakeholders to facilitate collaboration
- Discretion and confidentiality: Ability to handle sensitive information with utmost confidentiality
- Systems Skills: Proficient computer skills in Microsoft Word, Excel, PowerPoint, and Outlook
- Recognized as a strong individual contributor that gets things accomplished, with the ability to influence without authority. Works with abstract ideas or situations that may affect other functional areas of the business and where analysis of situations or data requires collaboration and an understanding of the impact on other functional areas, business strategies, and the company's overall goals. Works on issues of diverse scope which require evaluation of a variety of factors and an understanding of functional area objectives and trends. Erroneous decisions or failure to achieve results may add to costs and impact the short-term and long-term goals of the organization.
Physical Requirements:
While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, see, talk or hear in a standard office environment. Employee must occasionally lift and/or move up to 15 pounds.
